All the pieces are falling into place for the rollout of the new Office Depot online ordering system. We have conducted training for our first rollout of users and additional training will be available in the near future to all college users.

For those who have not attended any training yet, please visit our "How Do I..." website to view the Office Depot PowerPoint presentation, the handout, Welcome Guide, and more.

For those who attended the first rollout of training, Purchasing will or has already notified you of your PO# that have been loaded with Office Depot. Once you have been notified from Purchasing of your PO#, online ordering can begin. The Office Depot website - http://business.officedepot.com has a listing of the College's core list (Best Value) items and some initial ordering has begun.

Some notable benefits to the college:

  • Cost Savings
    • Last year we had 1025 POs to Corporate Express with expenditures of approximately $400,000. With Office Depot's Best Value pricing we could save approximately $80,000 annually.
  • Reduction in Administrative Ordering Process
    • No duplication of line items.
    • No receiving.
  • Better Data Analysis
    • Order history is available to users on Office Depot web site.
    • More transparency in regards to transactions.

Adjunct Stimulus Funding

PBCC is the recipient of State Fiscal Stabilization Funds awarded by the Federal government through the Florida Department of Education. In other words: stimulus funds. These funds are to be used to save and create jobs; and for education and general expenditures to mitigate the need to raise tuition and fees for in-state students.

The College's project application proposed using these funds for adjunct instructional costs. By accepting these funds, the College agreed to abide by the guidelines established by the federal government for transparency, reporting and accountability.

The stimulus funding will support almost 40% of the adjunct instructional budget for this fiscal year. Reduced state funding and other issues seriously impacted our budget this year. Since the stimulus funding and the reduction in state funding are very similar amounts it's anticipated that these funds will help lessen the uncertainty created by the economic downturn of the last few years.

Who's holding that check?

A new semester and a new opportunity to clean out those desks! What you should bUnused Checkse looking for are any unused College checks (or any others for that matter!) perhaps related to cancelled performances or travel that never took place last semester. If we do not know a performance was cancelled or travel never took place, your program will not have the available budget restored unless we cancel the funds tied to the check.

A bigger mess is created if the services that never took place are also taxable. In that case, the recipient would get a 1099-MISC Miscellaneous income tax form in January. Then they call us asking why they have to pay taxes on a payment they never received. To avoid this scenario, return unused College checks to the Accounting Specialist (Bookkeeping) in Finance - Bertha Forero.

$9 Million in Financial Aid Checks on their way

It is true! During the month of September, the largest Financial Aid and Loan disbursements are processed. With over 31,000 students enrolled this fall term, at least 10,000 have financial aid or loans to assist them with tuition, fees, and books.

The first Financial Aid disbursements of grants, scholarships, and loans for September totaled over $9.2 million. 79% were issued via check and 21% were EFT (direct deposit).

With the increase in students electing direct deposit, the College saved at least $665.00 in postage from these large disbursements. With Financial Aid disbursements occurring every Tuesday and Thursday, these smaller amounts may not seem like big savings on a daily basis, but an entire term definitely adds up in the end.

We encourage all students to sign up for direct deposit.

  • It saves trips to your financial institution.

  • It expedites the delivery of funds and reduces the possibility of overdrafts.

  • It eliminates the possibility of lost, stolen, or forged checks.

Copy information from an existing Purchase Requisition to a new Department Requisition

Copy Purchase Req to Department Req

  • Open PantherNet and navigate to Department Requisition Menu and type CP and press Enter (see above), or type direct command CM DR CP to Copy Purchase Req to Department Req and press Enter.
  • This will bring up Search Purchase Requisitions screen.
  • Position the cursor or enter Purchase Req Number to select the requisition to copy.
  • A popup window will ask the user to enter the new Department Requisition Date Needed. Enter the date (format: MM/DD/YYYY) and press Enter.
  • The information from that Purchase requisition is copied to a new Department Requisition and will bring up View/Update Requisition screen.
  • Now you can make any changes to the new requisition and send it for approval.

Profile: Pam Harrison

Meet the Finance Department's very own in-house consultant and trouble shooter: Pam Harrison. Pam brings a holistic approach to problem solving and improving processes here at PBCC by drawing on her experience in the Community College system. She has the ability to quickly see the whole picture, isolate and target a problem, and focus on the solution.

Pam started in the Community College system in 1995 as the Accounting Manager at Indian River State College. While at IRSC Pam began working with financial data and Access programming. Pam initially joined PBCC in 2001 to work with Student Accounting. Since then, Pam says she's learned more than she ever expected about data analysis and programming. She certainly is not a person who believes "that's the way we've always done it" is a viable work process.

Pam enjoys change and is constantly working on ways to improve the system. She has authored many of the improvements that have taken place regarding PantherNet and business processes at the College. The first project, in 2001, was automated student payments over the phone, followed by payments over the web. Pam says, "It's amazing how quickly things change and then become part of everyday business practice." Can any of us imagine not being able to make payments by phone or on the web? We have Pam to thank for making life easier for our student population as well as for our own cashiers.

When not working, Pam enjoys spending time with her family. Her two little girls, Abigail 6, and Leah 4, along with her husband Dale keep her busy. Pam volunteers at the girls' school when her schedule permits. Maybe Pam should consider writing a book on time management skills - in addition to her busy schedule she also found the time to earn her CPA license.
